Privacy policy

This policy covers the BCI Southern Africa Chapter Conference app, the web app attendees use for the programme, speaker profiles and the message wall on 12 and 13 August 2026. The app is run by the BCI Southern Africa Chapter, who decide what is collected and why. The chapter has no registered office, so use the email address below to reach us.
What we collect
Only what the app needs to work. There is no advertising and no third-party tracking.
- Your competition entry, if you enter the Pax Resilience prize draw: your first name, surname, organisation, title or role, email address, contact number, and your Yes or No choice about contact from Pax Resilience. An organiser may enter the same details for you from a paper form you completed at the conference.
- Your name and email address, given when you create an account. The email address is how you sign in: we send a six-digit code to it each time. There is no password.
- Anything you post to the message wall, stored with your display name, an account identifier and the time you posted.
- Moderation records, if a moderator removes one of your messages or restricts your posting. These note what was done, by whom, when, and any reason they entered.
- Conference team membership, if you are an organiser: your email address, your role, and an optional note identifying you.
We do not ask for a photo or a dietary requirement, and we do not import the delegate list.
Who can see it
- Other attendees see your display name and your messages on the wall. Treat anything you post there as public to everyone at the conference.
- Moderators see the message wall and moderation records. They cannot see competition entries or user exports.
- Conference admins can see and export competition entries and app-account details to run the conference and administer the draw.
- Pax Resilience hosts the competition and may use entry details to administer the draw. If you select Yes, its representatives may also contact you about Risk Management, Business Continuity Management, or Cyber Security solutions. Selecting No does not prevent you from entering the draw.
Removed messages
A message a moderator removes stops being visible to attendees immediately, but it is kept so that an accidental removal can be undone. It is hidden, not erased. The same applies to a record of a timeout or a ban.
Who processes it for us
- Clerk handles accounts and sign-in, and holds your name and email address.
- Convex holds the programme content, message wall, moderation records, and competition entries.
- Vercel serves the app itself.
These providers process data on our instructions and nothing else. All three are United States companies, so your details are stored outside South Africa. POPIA allows that where the provider is bound to protect the data to a comparable standard and the transfer is needed to give you the service you asked for, which is the case here.
How long we keep it
We delete accounts, wall messages, moderation records, and the app's copy of competition entries 14 calendar days after the conference closes. If you selected Yes to sponsor contact, Pax Resilience may retain the details you gave it under its own privacy practices.
Your rights
Under South Africa's Protection of Personal Information Act you can ask what we hold about you, ask us to correct it, and ask us to delete it. You can also ask us to remove something you posted to the wall. Write to southernafrica@bcichapter.net and we will respond as soon as we reasonably can.
If you are unhappy with how we have handled a request you may complain to the Information Regulator of South Africa.
Changes
If this policy changes before or during the conference we will update the date at the top of this page.
